Curious as to What Would COJ Do?

Next week I'm heading to DC for a business trip.  Because of the nature of our company right now, we're basically floating expenses (e.g. we aren't getting re-imbursed for out-of-pocket expenses in a very diligent manner).

I'm heading down with a colleague and spending a few days in Alexandria, VA.  The guy I'm going down with, him and I get along really well, have a lot in common and are pretty good friends.

So we finalized the trip details today and the hotels available to us are grim.  The Embassy Suites is totally sold out and the other hotels are $250 and $300 per room per night.  I'll be covering the travel costs on my expense account.

Basically, if we each get seperate rooms, the cost is going to be (w/ taxes) into the $1300 range.  But, if we share a hotel room, I can cut the cost in half.  Granted, I'll get re-imbursed for either cost, the problem is that I'll get my money back probably in late June. 

WWCOJD? 

Option 1 : 2 rooms, full price, carry costs.

Option 2 : 1 cheap room (2 double beds) and pay half cost.

Option 3 : 1 Suite room for about 3/4ths of the cost of Option 1 and make the junior guy take the pull-out sofa.

As long as it's same sex and you get along with the guy, I don't see an issue.  I shared a room with another female co-worker when we went to a conference and it was fine.  We didn't spend much time in the room anyway.

Wow you have to pay for a company trip with your personal money and won't get reimbursed for more than two months? Do they reimburse you the interest on your credit card, too?

I don't like to share hotel rooms with anyone but my boyfriend or a VERY good girlfriend. Mostly because I'm a light sleeper and will lay awake all night if someone is a snorer or heavy breather. The quality, good-night's sleep is worth the extra expense to me. Especially if I have to be on my "game" for a business trip.

I usually have a strict no-sharing policy and for a trip where I was required to go (working on a regional office, presenting at a client, etc.) I would insist on my own room.  I would also insist that someone in the company with a company credit card books the room - unless I had a company card of course - or I am not so interested in going and "helping them out" in that way.  An exception may be a small company, if you know the owners, etc.  If you're worried the company needs this trip to keep your and other's jobs, that another thing.  But if the owner of the company has a second home, tell him to float your hotel bill!

I wouldn't feel "bad" about the expense of traveling and staying in Virginia. It's expensive there.  If you were traveling to Des Moines and the Embassy Suites was $100, you wouldn't get any money back as a thanks for staying in the cheaper hotel.

Now, I am not 100% from your post that this is that kind of a required trip.  I am now planning to share a room, for the first time, with a colleague while we attend a conference.  Since this is a perk that's nice to have (professional development money), and my colleague seems nice and clean, I find saving the cash is worthwhile.  This will be an expense for me that will be reimbursed after the fact as well, once I've actually completed the trip.

Option 2 sounds like a fine option. 

But of course I get sent out of town for training on a special response team and I don't have a choice but share a room with a firefighter from my dept and we get along and have no issues.  If we get deployed to a serious situation we'd be in the lap of luxury if we actually had a hotel room or a daily shower and will most likely be sleeping under the stars at first and if lucky maybe end up in a tent at some point with 20 guys we don't know.  So my view is a little skewed compared to most folks

I do not share hotel rooms. Unless the CEO of the company is sharing hotel rooms on business trips no one else should be expected to either.

You can try and do a Priceline deal and get something better. If not I would rather go low end on other areas on the trip such as smaller car, cheaper meals than share a room.

For what it's worth (assuming you are out looking for clients, or interacting with current clients?), I also think option #1 is the more "professional appearing" option, which, in our business, is important

I think for me it would depend on what I think the health of the company's finances are.  And given that you are having to float expenses I'd think they're not so good.  I would try to be the cost conscious employee who tries to reduce it where I can.  Nevermind the concern that if they went under suddenly I'd be out that money.

as I'm a co-owner in the company, I know that we are very healthy and not on the verge of going under.  as I'm a co-owner, we invoice the client for the expense and then when the client pays, we get paid.  (note: for employees - they get re-imbursed in a much quicker fashion)

I also know that the client is no where near being on the verge of going under.

 

all valid concerns considering my law firm imploded overnight (hence us starting up this law firm).  I was lucky, but many people are now sitting in the back of the line in bankruptcy court to be repaid even normal travel expenses...

 

as for client concerns, they really wouldn't care either way if it was one room or two.  in fact, odds are they aren't even staying in the same hotel - so they wouldn't know.

 

I booked 2 seperate rooms, so I'm leaning towards option 1.  But I can always cancel and switch to options 2 or 3...

Did you look into Crystal City? Lots of options (only 3 miles from Old Town) and a Metro stop there too. More options = competitive pricing.

HELL NO.. my job tried that...(the one time employees took on the employer and won) sorry doesn't happen.. because in your travel procedures it should spell that out.. if you choose that, that's your option... but they can't force you to do it.. no matter what... there rules they can't break them whenever they want..

research you travel procedures. or just don't go

Given that information I'd go with the 2 rooms.

At this point in my career and my life, I won't share a room with anyone other than my wife or kids. 

Option #1 without question.

That's the only way it works with my company too.  Unless it's a really big event and they're paying for everyone's rooms.

I'm not downing anybody who has spoken out against sharing a room...I'm just wondering, why?
Have folks here had bad experiences sharing a hotel room with co-workers? I'm trying to come up with negatives, and I'm having a difficult time doing so.

The client is reimbursing? I'd get two rooms. $300 is what an hour of billables for you two at the most? The client won't even notice the expense and would not expect that you would not share rooms anyways.
